Part-Time Administrative Assistant Position (20 hours per week)

Responsibilities:

bit-x-bit is looking for a highly motivated administrative assistant with strong writing and computer skills to assist with day-to-day administrative projects and operation of the firm.  Working closely with the executive team, forensic and e-discovery analysts, the administrative assistant’s responsibilities include the following:  

1. Handling all incoming telephone calls, mail and deliveries;
2. Assisting in the preparation of materials for client presentations and continuing legal education programs;
3. Picking up and returning of evidence, including Federal Express/UPS packages, maintaining a chain of custody and proper documentation for evidence; 
4. Purchasing general office supplies and maintaining printers; 
5. Assisting with marketing and social media projects, including postings to bit-x-bit’s various social media platforms (Facebook, LinkedIn, Website and Constant Contact); 
6. Performing conflicts checks for new case matters and completing incoming project forms for distribution to staff; and
7. Organizing and calendaring meetings via Microsoft Outlook, Teams, WebEx and Zoom. 

Responsibilities include: Oversee and implement office administrative systems and support, prepare monthly client billing and reporting, prepare weekly administrative reports for management, manage and purchase office supplies and assets, assist in the preparation of marketing materials including firm seminar engagement materials, website, blog and advertisements, as well as create, implement and oversee bit-x-bit’s social media presence.

Qualifications:

Required Skills Include: Word, Excel, PowerPoint.
